What is the purpose of a specification file?

What is a Specification File?

A specification file is a document that provides additional details or instructions about an item. These files are associated with individual item profiles, ensuring that all relevant information is centralized and easily accessible. Examples of specification files may include; Safety Data Sheets, Measurement specification documents, specific item instructions, etc. 

When an item is added to a transaction—such as a requisition or purchase order—the specification file is automatically attached to the transaction. This feature enables seamless sharing of important details with other users and vendors, improving communication and ensuring clarity throughout the procurement process.

By using specification files, you can streamline operations, reduce errors, and ensure everyone involved has access to the necessary information.

To Upload a Specification File

1. Navigate to your items database. If you are adding a new item, select “Add New Item”, if you are adding a specification file to an existing item, select the option to edit the item (

). 

2. On the item edit page, scroll down and the “Specification Files” Section on the bottom right. 

3. Where it indicates choose file, you can select the file you want to upload. 

4. Once the file has uploaded, save the item profile
