Who can file expenses?

In Tradogram, access to the Expense module is controlled by user-specific permissions. This ensures that while any authorized team member can track their spending, your financial data remains secure.

User Permissions & Access

Any user with the appropriate Access Permissions can view, create, and edit expense entries. This is not restricted to Admins; however, the permission must be explicitly granted.

How to Update Expense Permissions

If a user cannot see the Expense module or is unable to create a new entry, an administrator can update their settings using these steps:

  1. Click on the Dropdown Menu at the top right and select Manage Branch.
  2. Click on Users in the left-hand menu.
  3. Click on the specific User you wish to update.
  4. Locate the action buttons on the right-hand side and click the Key Icon (Edit Permissions).
  5. Toggle the Expense permissions to the desired level (View, Create, or Edit) and save your changes.

Expense Approvals

While many users may have the permission to file an expense, you can maintain control over your budget by configuring Approval Workflows.

  • Verified Entry: You can designate specific "Approvers" who must review and authorize an expense before it is finalized or exported to your accounting system.
  • Audit Trail: Every expense filed and approved is time-stamped, providing a clear record of who spent the money and who authorized the transaction.

Success Tip: We recommend granting "Create" permissions to any staff members who frequently make out-of-pocket purchases, while reserving "Edit" and "Approve" permissions for department heads or your finance team.
